POSITION SUMMARY

The Assistant to the Executive Pastor of Ministries provides high-level administrative support to the Executive Leadership Team, ensuring efficient workflow, communication, and coordination of ministry initiatives. This role requires exceptional organizational skills, confidentiality, and a heart for ministry service.

KEY RESPONSIBILITIES:

Administrative Support

  • Manage calendars, appointments, and meetings for the Executive Pastor of Ministries.
  • Prepare correspondence, reports, presentations, and other documents as needed.
  • Organize and maintain files, ensuring easy access to critical documents.
  • Handle incoming calls, emails, and inquiries, responding or redirecting as appropriate.

Meeting & Event Coordination

  • Schedule and coordinate leadership meetings, staff meetings, and special events.
  • Take detailed meeting notes, distribute minutes, and track action items.
  • Assist in planning church-wide programs and ministry conferences related to the Executive Leadership Team.
  • Work alongside the HR manager to plan and execute team-building events for First Free Staff.
  • Collaborate with the Executive Leadership Team and HR manager on staff milestone celebrations, special events, and team development initiatives.  
  • Work with ministry teams (as needed) to ensure smooth execution of events.

Project & Ministry Support

  • Provide support in carrying out ministry projects and key strategic initiatives.
  • Help manage workflows and deadlines for ongoing church programs.
  • Support communication between the Executive Leadership Team and ministry leaders.
  • Assist with special projects as assigned.

Confidentiality & Professionalism

  • Handle sensitive church and personnel information with discretion.
  • Act as a trusted representative of the Executive Leadership Team.
  • Exhibit professionalism and a servant-hearted attitude in all interactions.

Requirements

  • Strong commitment to the mission and values of the church.
  • 3+ years of experience in an administrative or executive assistant role.
  • Proficiency in Microsoft Office Suite, Google Workspace, and church management software (Planning Center).
  • Excellent communication, time management, and problem-solving skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Availability to work occasional evenings and weekends as needed.
