Administrative Assistant to Prayer Ministries Pastor

POSITION SUMMARY
This position provides administrative and organizational support to the Prayer Ministries Pastor and the Prayer Ministry, assisting with coordination, communication, and ministry logistics to help support the overall vision and initiatives of the ministry.

QUALIFICATIONS
Interpersonal and Communication Skills - Demonstrates strong interpersonal skills and enjoys working with people in a ministry setting. Communicates clearly and professionally in both written and verbal formats, including emails, scheduling coordination, and communication with volunteers and staff.
Administrative and Organizational Skills - Experience supporting programs or ministries through administrative coordination, scheduling, and organization of resources. Ability to identify inefficiencies and help improve workflows or processes to support effective ministry operations.
Technical Skills - Proficiency in Google Workspace and Microsoft Office, including email, spreadsheets, and document management. Familiarity with Planning Center or other church management systems is a plus.
Collaboration and Initiative - Ability to work independently while also collaborating effectively with staff, volunteers, and ministry leaders. Demonstrates initiative and follow-through in completing assigned tasks and supporting ministry goals.
Adaptability and Availability - Flexibility to work occasional evenings and weekends as required for ministry events or activities.
Professionalism and Composure - Maintains calm, poise, and effectiveness when managing multiple tasks or navigating stressful situations.
Confidentiality and Discretion - Demonstrates a high level of discretion when handling confidential information related to staff, volunteers, and prayer requests.
Primary Responsibilities
Administrative Support
Manage calendars, appointments, and meetings for the Prayer Ministries Pastor.
Track ministry budgets, process credit card transactions, and submit expense reports to the Accounting Department.
Maintain and update the Prayer Ministry volunteer database.
Assist in preparing course materials and handouts as needed.
Ensure background checks and protection policy screenings are current for all volunteers.
Volunteer Coordination
Assist with onboarding new volunteers and support the Prayer Ministries Pastor in oversight of all volunteer roles.
Track attendance, manage registration, and coordinate supplies for prayer-related groups and courses.
Event and Program Support
Assist with the logistics, deadlines, and promotion of prayer-related courses, events, and equipping groups.
Collaborate with ministry teams to ensure smooth execution of events.
Support special projects as assigned.

Attend staff meetings, development sessions, and ministry events as required.
